Responsibilities

 

The Administrative Assistant is responsible for providing a warm and welcoming environment, while completing administrative and executive-level tasks to support the leadership team and the day-to-day operations of the residential program. 

 

Essential Responsibilities:

  • Provide administrative support to key leadership staff in the day-to-day operations such as word processing, creation of spreadsheets, data entry, light bookkeeping, filing, taking minutes, and report preparation.
  • Answer telephones, route, and field telephone calls. Greet visitors in a warm and welcoming manner responding courteously and appropriately to inquiries.
  • Provide ancillary support to the intake process to ensure client insurance information is accurately captured and electronically stored.
  • Assemble clinical binders and other related clinical or programming materials. Maintain an adequate supply of such resources. 
  • Schedule and coordinate logistics for employee training sessions and all staff meetings and disseminate communications.
  • Support human resources functions by preparing new hire personnel and benefits folders.  
  • Responsible for submitting monthly expense reports for self and Executive Director.
  • Work in conjunction with the Human Resources Manager to plan, organize and communicate employee recognition events and activities.
  • Research, coordinate and book business travel arrangements for employees and process training registrations.
  • Manage and reconcile petty cash funds.
  • Order, inventory and maintain adequate levels of supplies and logo attire.
  • Receive deliveries, sort, and distribute incoming mail and prepare outgoing mail including certified and overnight mail services.
  • Organize and maintain files and databases in a confidential manner.
  • Perform other duties as assigned.

Assists in the coordination and implementation of special events, meetings and training.

  • Demonstrates considerable interpersonal skills including, but not limited to, tact and diplomacy and the ability to troubleshoot for the direct Supervisor.
  • Possesses proven ability to be flexible and manage changing priorities; must have a strong sense of time management.
  • Possesses strong written and verbal communication skills, typing, filing, report writing and processing.

Qualifications

  • Bachelor’s degree in Business, Finance, Communications, or Human Services desired.
  • Superior technical skills to learn new systems. 
  • 2+ years’ experience as an Administrative Assistant or in a similar role.  
  • Highly proficient or knowledge of MS Word, Excel, Outlook, Google Drive, One Drive.
